New York Physical Therapy CE Audit Guide

New York physical therapists and physical therapist assistants complete continuing education during each registration period. The Office of the Professions reviews a portion of licensees, and selection is largely random.

If you've received a request to verify your hours, this guide will walk you through what to send and how to organize it.

If you've landed here, take a slow breath. Being asked about your continuing education isn't a sign that you've done something wrong. Audits are routine, and most people who go through one come out the other side just fine.

How New York PT audits typically work

After you re-register, the State Education Department may select your record for review. You'll be asked to send certificates and proof of any mandatory content.

Audits are administrative. The goal is verification, not punishment.

    Documents commonly requested

Approved sponsors will list a sponsor number on each certificate. That number makes it easy for the board to verify the activity.

    • Certificates of completion from approved sponsors
    • Infection control coursework documentation, on the schedule required by law
    • Child abuse identification training certificate, if not previously on file
    • Documentation for any home study within allowed limits
    • Evidence of attendance at conferences or live courses

    Organizing your response

The single most useful thing you can do right now is gather your records in one place. A folder on your desktop, a printed binder, or a shared drive all work. You don't need a complicated system. You just need to be able to find things.

A single PDF, with a brief cover letter that lists each course and matches it to the requirement, makes life easier for whoever is reviewing your file.

    If something is short

If a review identifies a shortfall, you'll typically be given time to complete additional hours. Acting promptly and communicating clearly usually keeps the process administrative.

    A simple audit-response checklist

    1. 1Read the audit notice slowly. Note the deadline and exact list of documents requested.
    2. 2Make a simple folder labeled with the cycle dates being audited.
    3. 3Pull certificates of completion for every CE activity in that cycle.
    4. 4Match each certificate to the topic area or category your board requires.
    5. 5Save proof of license renewal and any required attestations.
    6. 6If a certificate is missing, contact the provider for a duplicate before the deadline.
    7. 7Scan everything as clean PDFs, named with date and course title.
    8. 8Submit through the channel the board requests. Keep a copy and a confirmation.

    • We match you with an independent attorney licensed in your state
    • They review and suggest revisions to your document before you submit it to the board
