How Ohio OT audits typically work
After renewal, the board selects a sample of licensees to verify their reported CE. You'll receive an audit notice and a list of what to send.
The board isn't trying to find a reason to act against you. It is confirming that what you attested to during renewal is supported by records.
Documents you'll likely send
Most providers include the contact hours and a clear topic statement on the certificate. If a category isn't obvious, a brief explanation in your cover note helps.
- Certificates of completion from approved providers
- Documentation of ethics or jurisprudence content
- Evidence of any AOTA Approved Provider activities
- Proof of attendance for live courses (sign-in sheets, programs, certificates)
- Transcripts for any university coursework counted toward CE
Common questions OTs ask
Many practitioners worry that informal trainings, in-services, and journal clubs may not count. The honest answer is that it varies. Check the rule, look at the approved provider list, and document carefully.
The single most useful thing you can do right now is gather your records in one place. A folder on your desktop, a printed binder, or a shared drive all work. You don't need a complicated system. You just need to be able to find things.
If something is missing
If a course's provider has closed, ask AOTA or your state association whether they retain records, or check your employer's LMS. Submit what you have and explain gaps directly.
A simple audit-response checklist
- 1Read the audit notice slowly. Note the deadline and exact list of documents requested.
- 2Make a simple folder labeled with the cycle dates being audited.
- 3Pull certificates of completion for every CE activity in that cycle.
- 4Match each certificate to the topic area or category your board requires.
- 5Save proof of license renewal and any required attestations.
- 6If a certificate is missing, contact the provider for a duplicate before the deadline.
- 7Scan everything as clean PDFs, named with date and course title.
- 8Submit through the channel the board requests. Keep a copy and a confirmation.
